Nonprofit Administration Checklist for Small Organizations
Nonprofit admin is not hard. It is just easy to forget — the receipt that never went out, the filing nobody remembered, the grant report due while everyone was planning the gala. This checklist puts the recurring work on a rhythm: monthly, quarterly, annual. Pin it to the wall of whoever does the paperwork.
Last reviewed: October 2026. Deadlines and rules vary by province and by your incorporating statute — confirm against CRA's guidance on charity information returns and your bylaws.
Monthly
- ☐ Log every donation received and issue receipts promptly — see what a Canadian donation record must include.
- ☐ Reconcile donation and grant records with the bank statement.
- ☐ Finalize the previous month's board minutes and file them (see how to write Canadian nonprofit minutes).
- ☐ Check the grant tracker for deadlines and decision dates in the next 60 days — see how to track grant applications in Excel.
Quarterly
- ☐ Review the grant pipeline with the board: stages, owners, upcoming reporting deadlines.
- ☐ Confirm payroll remittances are current (if you have staff).
- ☐ Send the board package at least a week before each quarterly board meeting: agenda, previous minutes, financials, committee reports.
- ☐ Confirm quorum requirements and meeting dates for the next quarter.

- ☐ Registered charities: file the T3010 charity information return with CRA within six months of your fiscal year-end.
- ☐ Issue all donation receipts for the calendar year before the tax filing rush.
- ☐ Run the annual staff engagement survey and share the results — see ten ready-to-use survey questions.
- ☐ Review insurance coverage, signing authorities, and bank access.
